1. Information we collect

We collect the information you provide when you submit a nomination, cast a vote, make a partnership enquiry or send us a message — typically your name, email address, phone number and the details of your entry. We also record technical information such as your IP address and browser type to help us detect fraudulent submissions.

2. How we use it

Your information is used to process and verify nominations, administer public voting, respond to enquiries, and communicate with you about the awards. Nomination details may be shared with the Screening Committee and Independent Judging Panel for the purpose of assessing entries.

3. Voting integrity

To keep public voting fair we limit votes to one per person per category, and we record IP addresses and browser information alongside each vote. ZHHA reserves the right to appoint an independent auditor to verify voting results, and to discard votes identified as fraudulent.

4. Media and promotional rights

By submitting an entry you grant ZHHA the non-exclusive right to use names, images, promotional materials and excerpts of submitted works for publicity and marketing purposes. Copyright ownership remains with the creator unless otherwise agreed.

5. Sharing your information

We do not sell your personal information. We share it only with the committees and service providers who help us run the awards, and where we are required to do so by law.

6. Retention

We keep nomination, voting and enquiry records for as long as needed to administer the awards, resolve appeals and meet our legal obligations.

7. Your rights

You may request access to, correction of, or deletion of the personal information we hold about you. Write to info@zimhiphopawards.co.zw and we will respond as soon as we reasonably can.

8. Changes to this policy

We may update this policy from time to time. Material changes will be communicated through official ZHHA channels before they take effect.
